Xero, QuickBooks, Sage and FreeAgent

Your accountant does not need a login to your till. Yumee turns each day’s end-of-day report into a journal your accounting software can import, in its own layout, so the books start from the same numbers the till closed on.

The export is a file you download and import: Yumee does not log in to your accounting software or change anything in it.

The sales journal

In Backoffice, pick a date range and a format: Xero, QuickBooks, Sage 50, FreeAgent or a generic CSV for anything else. You see the journal on screen before you download it.

Each trading day becomes one balanced journal, built from that day’s Z-report:

  • Sales split into standard-rated and zero-rated, with the VAT on them.
  • How you were paid: cash, card, Deliveroo, online orders, vouchers and house accounts each go to their own clearing line, so each one can be matched to what actually arrives in the bank.
  • Service charge, tips, discounts and cash paid in or out of the drawer on lines of their own.
  • A penny of rounding, if there is one, goes to a suspense line instead of being hidden in sales.

The account codes follow a common UK chart of accounts (sales 4000, VAT 2200, card clearing 1240 and so on). If your chart is different, your accountant maps them once in the accounting software.

The accountant pack

One click downloads three files together: the journal in your chosen format, a VAT summary for the period, and a payments matrix showing every way you were paid, day by day. It is the set most accountants ask for at quarter end.

Stock, purchases and payroll

  • With the stock and recipe costing add-on, supplier bills and a cost of goods sold journal export for Xero, QuickBooks or a generic CSV.
  • Clock produces a payroll journal ready for Xero or QuickBooks, an employee CSV and a pay elements CSV for your payroll software to import, payslips, and a BACS file for your bank. Your payroll software works out the final deductions and reports pay to HMRC; Yumee does not file with HMRC itself.

What it is not

  • It is not Making Tax Digital software: your VAT return is still submitted from your accounting software. Our Making Tax Digital guide explains who has to do what.
  • It does not sync continuously. You export when you want to, usually once a week or once a month, and import the file.
